Personal Information Protection Policies

Personal information provided by the customer to Prosper Corporation through its business related to conventions, translation, interpretation, personnel services, education and more will be reasonably handled and safely managed in strict accordance with personal information protection law (Act on the Protection of Personal Information), nationally defined guidelines, and other regulations.
In order to conduct the reasonable handling of personal information, Prosper Corporation will undertake measures to ensure thorough training and guidance of employees so they handle personal information within reason.
We will respond swiftly to complaints and concerns regarding the handling of personal information, and reevaluate and improve measures related to the handling and safe management of personal information.

(1) Acquiring Personal Information
To conduct business, Prosper Corporation will acquire personal information as necessary and according to appropriate and lawful methods.
(2) Purposes of Use of Personal Information
Prosper Corporation will use acquired personal information as needed to provide the above services; it will not handle personal information for purposes that exceed the extent necessary to fulfilling the specified purposes of use of personal information (“outside purposes”).
Further, Prosper Corporation will establish measures to ensure this. In the event of a change in the purposes of use, Prosper Corporation will as a general rule notify the person(s) concerned in writing regarding the change, or announce the change on the website, etc.
(3) Measures for the Safe Management of Personal Information
In order to prevent the leakage, destruction, or damage and to ensure the safe management of personal information handled (regardless of medium), Prosper Corporation will construct sufficient security measures, such as maintaining rules regulating safe management, etc., and the maintenance, etc. of operations systems; Prosper Corporation will also construct appropriate measures to maintain the accuracy and recentness standards necessary to accomplishing the purposes of use.
(4) Provision and Commission of Personal Information to Third Parties
Prosper Corporation will not provide personal information to third parties without the person’s permission, with exceptions outlined below.
1. Prosper Corporation will not provide information to third parties except when it has permission from the person or when dictated by law.
2. Prosper Corporation may entrust information to businesses selected and maintained by the company, as needed, for the purposes of fulfilling business duties.
(5) Personal Information Protection Structure and Continuous Organizational Improvement
Prosper Corporation establishes management systems and plans regarding personal information protection, and works continuously to improve them.
(6) Prosper Corporation handles personal information (electronic, written, and visual) provided by clients for translation services with the utmost caution.
Prosper Corporation has established the below measures and conducts thorough information security management to prevent leakage to third parties that are not involved with applicable business duties as is the service consultant (coordinator, translation staff, proofreader, computer operators) in charge of your personal information.
1. Strict compliance with confidentiality regulations among internal staff
2. Submission of signed confidentiality contracts upon contracting services with outside staff
3. Signed confidentiality contracts between the client and Prosper Corporation
4. Shredding of important documents and other material specified by the client
(7) Complaints and Concerns Regarding Personal Information
When submitted to the contact information below, Prosper Corporation will respond swiftly to customer inquiries, revision requests, complaints, consultation, etc. regarding personal information.

2) Process for Disclosure Requests, etc.
Documents and procedures for disclosure requests, etc. are outlined below.

Please fill out all required items on the forms prescribed by Prosper Corporation (to be sent by the company after making contact) and send them along with a form of identification listed below.
(1) Documents prescribed by Prosper Corporation (1. Disclosure Request Form 2. Amendment Request Form 3. Usage Cancellation Request Form)
(2) Personal identification (a photocopy of one of the following)
1. Driver’s license (if the permanent residence is listed on the license, please mask it with black ink)
2. Passport
3. Health insurance card

3) Disclosure Requests, etc. by Proxy
Please send the below documents in addition to the request form.

For a minor: certificate of residence (without permanent address)
For an adult ward: certificate of guardianship (with address)
One photocopy of any of the following belonging to the legal proxy: driver’s license (address blacked out), passport, or health insurance card

One authorization letter addressed to the proxy, written in the customer’s own handwriting and with the customer’s seal
Customer’s seal certificate (obtained within the last three months)
One photocopy of any of the following belonging to the proxy: driver’s license (address blacked out), passport, or any other legal document

4) Disclosure, etc. Fees and Payment Methods
For each request (1. Disclosure Request Form), please also enclose a self-addressed envelope with 800 yen in postage stamps (ten 80-yen stamps) affixed and send it via registered mail.
If there is not sufficient postage, or if no envelope is enclosed, you will be contacted; if payment is not received in the prescribed timeframe, however, the request process must start over from the beginning.
Requests for amendment or usage cancellation do not incur any fee.
5) Response to Disclosure Requests, etc.
Prosper Corporation will send a response via registered mail to the individual’s (proxy’s) address listed on the request form.
From the time the request is received, internal investigation, etc. generally takes two weeks. Prosper Corporation will notify the customer if the process is to take more than two weeks. For amendments, however, Prosper Corporation will not mail a response once internal processing is complete.
6) Purposes of Use of Personal Information Provided for Disclosure Requests, etc.
Personal information collected in the process of requesting disclosure, etc. will be handled only within the scope necessary for the request. After a response to the request has been provided, submitted documents will be stored for one year before being properly disposed of.
7) Reasons for Denying Disclosure Requests, etc.
Prosper Corporation will not disclose information in the following cases. When a request has been denied, the customer will be notified and provided with a reason for the denial. Further, in such cases, fees will not be reimbursed.

(1) When the prescribed forms are not adequately filled in
(2) When identity cannot be confirmed due to discrepancy between addresses listed on the form, on the identification, and registered at Prosper Corporation
(3) In the case of a request by proxy, when unable to confirm the proxy’s agency
(4) When the object of the request for disclosure, etc. does not constitute personal information possessed by Prosper Corporation
(5) When posing a threat of damage to the life, body, or other rights or interests of the person in question or a third party
(6) When posing a threat of significant hindrance to the reasonable execution of business at Prosper Corporation
(7) When in violation of any other law

* It is the decision of the individual whether or not to provide personal information to Prosper Corporation. If the necessary information is not provided, however, the individual may not be able to use some or all of the services.
